Ensure the chairman’s Office is clean, tidy and professionally arranged at all times and that office equipment and supplies are available as required.

Maintain and update the chairman’s official diary, appointment schedules and calendar as required and gives timely reminders.
Prepare the chairman’s itinerary and travel requirements.
Arrange travel and accommodation for official visitors as required.
Receive, attend to and schedule chairman’s visitors for appointments.
Handle the chairman’s official communications, including telephone calls, manual mails and email messages.
Prepare and process the chairman’s documents- reports, invoices and letters.
Prepare responses to routine correspondences and reports for approval of the chairman.
Arrange correspondences, mail and reports in priority action order for the chairman.
Update and follow the chairman’s delegated tasks and ensure deadlines are met.
File the chairman’s official documents and correspondences in an orderly manner and ensure safe custody of confidential files as required.
Handle administrative details and coordinate workflow of the Chairman’s commitments and activities.
Perform any other duties assigned by the Chairman.

Diploma/Degree in Secretarial Studies.
At least 2 years relevant experience in a similar position in a busy medium sized Company.
Excellent communication skills.
Excellent interpersonal skills
Good knowledge of office administration and secretarial work.
Practical knowledge of sores management.
Proficiency in computer applications, including business applications.
Numerical skills.
Analytical skills.
Excellent negotiation skills.
Customer care and public relations skills.
