Senior Officer Records & Stores job at Tropical Bank Uganda
Job Description
Adhere to the bank’s records management policy to ensure proper storage and safe custody of bank records and stationery items at the bank central stores and archives
Duties and Responsibilities
Duties and Responsibilities
Identify documents/ records to be transferred from central archive to the repository in line with the bank Policy
Update the Records and Stores registers with new documents received from departments and branches
Receive, sort, organize and arrange records/stationery items in specific areas of the stores for ease of retrieval in line with records management policy
Register all documents leaving the archive for easy tracking and accountability purposes
Locate and retrieve records for day to day running of the bank
Identify records and documents for either permanent preservation or destruction in line with records retention schedules
Carry out records tracking to ensure that all records are returned to the archive in time
Ensure that right quality and quantity of stationery items requested for are delivered
Issue stationery items to all departments and branches in accordance with the requisition forms duly signed by the Heads of Departments or Branch Managers and approved by Assistant Manager Records and Stores
Submit a report of stationery stock levels to Assistant Manager Records and Stores and sspecify items in the store that require replenishment
Ensure that no unauthorized persons access the stores & archives all the time
Comply with AML/CFT/CPF policies and procedures
Key Performance Indicators
Timely identification of documents to be transferred
Updated Records and Stores registers
Stock levels status reports
Timely retrieval of requested records from Central stores
Properly signed off delivery notes
Timely issuance of stationery items to departments and branches
Timely submission of a report on stationery stock levels
Updated stores access register

Qualifications and Competencies
Person Specifications Qualifications
Bachelor’s degree in Records/information Management/ Information and Library Science/related field from recognized institution
Trainings in Records & Archival management.
Knowledge of MS Office tools (Excel, Word, Project and PowerPoint)
Understanding of Bank products and services and knowledge of the banking operation issues in Uganda.
Proactive and quick response to customers and employees’ queries;
Excellent interpersonal skills;
Fluent in the English Language and any other local language preferably Luganda particularly for explanatory purposes to Bank customers who do not understand the English Language.
