Job Description
Reporting to the Head of Department, the Senior Executive Assistant will be responsible for facilitating the effective and efficient operation of the CEO’s office. The role entails conducting research, coordinating high-level meetings, preparing confidential documents and speeches, maintaining communication channels with key stakeholders, and representing the CEO's office when required. The ideal candidate will be a proactive and highly organized individual with excellent communication skills and experience handling complex administrative and analytical tasks in a fast-paced environment.
Duties, Roles and Responsibilities
Undertake research and analysis on company projects and prepare briefing materials for high-level stakeholders
Support and analyze special projects and initiatives
Coordinate and prioritize the CEO’s meetings, travel, and commitments
Manage communications (electronic, telephone, and written) on behalf of the CEO
Prepare letters, memos, presentations, and confidential documents
Coordinate and facilitate meetings, including preparing agendas and materials
Ensure the privacy and security of sensitive information
Represent the CEO’s office and serve as the point of contact for internal and external stakeholders
Draft talking points and materials for the CEO's speeches and presentations
Liaise with government officials, NGOs, and other key stakeholders to build strong relationships
Provide general administrative and executive support to ensure smooth office operations

Qualifications, Education and Competencies
Minimum Qualifications:
Honours Bachelor’s degree in Public Administration, Social Administration, Business Administration, Economics, Finance, Statistics, Commerce, or a related field from a recognized institution
Master’s degree in Economics, Finance, Business Administration, Statistics, Commerce, or any other related field
Experience:
Minimum of six (6) years of relevant professional experience in a busy public or private institution
Proven experience as an administrative, executive, or virtual assistant
Competencies and Skills:
Strong knowledge of office management systems and procedures
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
Excellent written and verbal communication skills
Strong organizational, planning, and multitasking abilities
Ability to prioritize and manage time effectively
High level of integrity and professionalism
Strong interpersonal, analytical, and report writing skills
Competency in economic and financial analysis and data interpretation
Age Requirement:
30 to 45 years
