Job Description
Job Title: Records Officer
Organisation: Uganda Baati
Duty Station: Kampala, Uganda
To effectively handle company records for safe and efficient storage and retrieval of company records. Additionally, responsible for arranging, describing, preserving and providing access to records, documents and other materials as of value to the company.
Duties, Roles and Responsibilities
Accurately catalogue, classify and index all the records delivered to records office for proper storage.
Maintain an inventory of all records in the records repository and keep the access register up to date.
Timely retrieval of records requested for by authorized staff against formal fully signed requisitions submitted to the records office and ensure correct refilling of the records returned.
Maintain a well-organized and neat records repository with orderly filling and shelving as per records standards.
Ensure all documentation is accurate and up to date and also ensure security of personal information.
Recommend and assist with implementation of records storage and indexing solutions and may develop databases and information access systems, as time and resources may allow.
Manage all aspects of records transfer and disposal to and from archives.
Any other assignment by management as may be required in the interest of the company.

Budget
Tight control on expenses within budget.
Procurement responsibility
Procurement of items (specific to role) as approved in line with the budget
Working conditions
Working environment requires that the holder to wear PPEs for safety reasons.
Office bound / on-site / travel/ May be required to travel
The company may choose to relocate to holder to branches or other sister offices as and when needed
Willing to work extended hours to accomplish job roles

Qualifications, Education and Competencies
A Bachelors’ degree in Records and Archives or any other related fields.
A minimum 3 Years in a busy working environment, with a good understanding of records and archives Management standards.
Skills Required
Strong interpersonal and communication skills.
Computer and Planning skills
Ability to anticipate changing demands for use of information.
Highly organized and systematic in approach to work Analytical skills
Knowledge of the Company’s specific software.
Personality profile
