Job Description

The Programme Support Assistant will be responsible for ensuring the smooth running of the office by managing logistics, office supplies, and administrative tasks. This includes coordinating meetings and workshops, maintaining office inventories, and managing petty cash. The role also involves keeping track of stock requests, coordinating repairs and installations, and organizing visitor schedules. Additionally, the Programme Support Assistant will be tasked with ensuring compliance with office processes such as timesheet submissions, payment tracking, and proper filing of documents. The role is key in supporting the overall administrative function to facilitate smooth programme operations.

Duties, Roles and Responsibilities

  • Provide logistical support in planning and organizing meetings and workshops.

  • Ensure that office materials and supplies are well-stocked and readily available.

  • Manage petty cash and ensure timely replenishment.

  • Maintain inventory of supplies and equipment, and prepare requisitions for necessary items.

  • Coordinate requests for installation and repair services in line with company policies.

  • Organize and file key documents appropriately.

  • Ensure timely completion and compliance with staff LDR time sheets.

  • Set up a payment charter for tracking payments and preventing loss of payment vouchers.

  • Coordinate visitor management, including directing them to the relevant staff.

  • Organize the reception and office areas to accommodate visitors.

  • Maintain a well-documented store request book and ensure proper stock cards are updated and approved.

  • Ensure monthly store counts are done and reports submitted.

Qualifications, Education and Competencies

  • A Bachelor’s degree in Office Management, Business Administration, Human Resources, Organizational Psychology, Development Studies, or a related field.

  • At least two years of experience in a similar or related role.

  • Proficiency in computer applications.

  • Strong communication and interpersonal skills.

  • Excellent customer care and public relations abilities.

  • Strong analytical and conceptual skills.

  • A commitment to World Vision’s mission and values, and sensitivity to its cultural diversity across denominations.
