Support in the prequalification exercise
Procurement documentation and filing
Coordinating the packaging and distribution of branch procurements
Updating the procurement tracker
Coordinating with finance over purchase orders and supplier payments
Sharing of purchase orders with suppliers and coordinating the delivery of items
Supporting in other procurement related activities such as sourcing for quotations , order placements ,etc
Receive, inspect and distribute orders
Support in stock taking exercise for company inventory
Maintain good relationships with suppliers and renegotiate prices on a regular basis
Any other duties assigned by supervisor or management

Education:
A bachelor's degree in a relevant field is often required. Degrees in business administration, supply chain management, procurement, logistics, or a related discipline are preferred. Some employers may also seek candidates with advanced degrees or professional certifications in procurement or supply chain management.
Professional Certifications:
While not always mandatory, certifications can enhance a Procurement Officer's credentials and demonstrate expertise in the field. Common certifications include:
Certified Professional in Supply Management (CPSM)
Certified Purchasing Manager (CPM)
Chartered Institute of Procurement & Supply (CIPS) qualifications (e.g., Foundation, Advanced, Professional)
Skills and Competencies:
Procurement Knowledge:
A solid understanding of procurement principles, practices, and procedures is essential. This includes knowledge of sourcing strategies, contract management, vendor negotiation, and supplier relationship management.
Analytical Skills:
Ability to analyze data, market trends, and supplier performance metrics to make informed procurement decisions and optimize purchasing processes.
Negotiation Skills:
Strong negotiation skills are necessary to secure favorable terms and pricing from suppliers while maintaining positive relationships.
Communication Skills:
Effective verbal and written communication skills are crucial for interacting with vendors, stakeholders, and internal departments. This includes the ability to draft contracts, issue purchase orders, and communicate procurement policies and procedures.
Attention to Detail: Procurement Officers must pay close attention to detail to ensure accuracy in procurement documents, contracts, and specifications. Mistakes in procurement can lead to costly errors and delays.
Problem-Solving Abilities:
The ability to identify and address procurement challenges, resolve disputes, and find creative solutions to procurement-related issues.
IT Proficiency:
Familiarity with procurement software, enterprise resource planning (ERP) systems, and electronic procurement platforms is beneficial for managing procurement processes efficiently and tracking purchasing activities.
Ethical Conduct:
Procurement Officers must adhere to ethical standards and codes of conduct, including principles of fairness, transparency, and integrity in supplier selection and contract negotiations.
Experience:
While entry-level positions may accept candidates with limited experience, mid to senior-level roles typically require several years of experience in procurement or a related field. Experience in strategic sourcing, vendor management, contract administration, and procurement project management is highly valued.
Industry Knowledge:
Familiarity with the specific industry or sector in which the organization operates can be advantageous. Understanding industry-specific regulations, market dynamics, and supplier networks can help Procurement Officers make informed decisions and drive value for the organization.
