Job Description
The Procurement Officer will ensure timely procurement and inventory management to maintain optimal stock levels and prevent shortages. Duties include processing purchase orders, coordinating with suppliers, managing procurement documentation, updating the procurement system, and supporting internal audits. The officer will also verify received supplies, manage system inventories, prepare reports, and participate in health and safety initiatives and professional development.
Duties, Roles and Responsibilities
Ensure all inventory transactions comply with financial policies and procedures.
Manage and record hospital donations.
Process daily purchasing transactions and local purchase orders (LPOs).
Coordinate stock levels with end users and the stores team to avoid shortages.
Conduct regular internal stock takes and ensure timely acquisition of supplies.
Maintain and verify procurement documentation and approved supplier lists.
Monitor market trends and product availability.
Support international procurement when necessary.
Reconcile physical stock with the Odoo system.
Update inventory codes and maintain accurate records.
Generate and analyze monthly procurement reports.
Post invoices and generate Accounts Payable Statements (APs).
Facilitate internal and external audits with proper documentation.
Attend departmental and general meetings as scheduled.
Comply with occupational health and safety policies.
Identify training opportunities and engage in mentorship for growth.
Perform other related duties as assigned by the supervisor.

Qualifications, Education and Competencies
Degree in Procurement, Business Administration, or a related field (Diploma considered).
CIPS qualification is an added advantage.
At least three (3) years of experience in procurement and office work.
Experience in medical inventory, procurement, and accounts systems.
Strong knowledge of accounting/ERP systems (especially Odoo 10 or 16).
Familiarity with Uganda tax systems (Customs and Domestic taxes).
Excellent computer skills: MS Office, email, and internet applications.
Strong teamwork, communication, negotiation, and people management skills.
Ability to plan, organize, and prioritize tasks efficiently.
Experience in NGOs and contract management is a plus.
