Job Description
The incumbent will be responsible for managing the Cargo Director’s calendar, coordinating travel arrangements, acting as the primary liaison between the Director and key internal and external stakeholders, and handling correspondence. Duties include organizing meetings, preparing agendas and minutes, managing confidential documents, budget tracking, handling office logistics, and supporting the Director in executing strategic tasks. The role also involves participation in special projects and facilitating timely communication flow within and outside the Cargo Department.
Duties, Roles and Responsibilities
Maintain confidentiality and manage sensitive information appropriately.
Manage the Director's calendar, appointments, and travel arrangements.
Coordinate meetings, prepare agendas, and maintain accurate records.
Act as a communication bridge between the Director and stakeholders.
Handle incoming communication and redirect or respond as necessary.
Organize domestic and international travel logistics and documentation.
Prepare reports, memos, and presentation materials.
Track and manage budgets, expenses, and reimbursements.
Support departmental events, staff forums, and projects.
Liaise with internal and external parties to resolve issues and manage queries.

Qualifications, Education and Competencies
Minimum Qualifications:
Bachelor’s Degree in Business Administration, Secretarial Studies, or a related field
Secretarial Skills Development Course
Supervisory Management Course
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Experience:
At least 5 years of experience as a Personal Assistant or Executive Assistant in a high-level office

Strong verbal and written communication skills
High attention to detail and accuracy
