Job Title: Office Administrator (Fresher Jobs)

Duty Station: Kampala, Uganda
Cleopatra Interiors is seeking an honest, detail-oriented and organized Office Administrator to support our team in managing daily operations. You will play a crucial role in ensuring the smooth functioning of our office environment and assisting with various tasks related to our interior design services.
Duties, Roles and Responsibilities
Customer Service:
As the main point of contact for shop sales, engage with clients to address their needs, share company information, and drive sales.
Coordinate site visits with clients, prepare quotations, and communicate them effectively.
Process payments from clients and accurately track all incoming and outgoing financial transactions related to company expenses.
Office Management:
Ensure the office and shop are fully stocked with necessary supplies.
Oversee the office assistant’s cleaning duties and overall organization of the shop.
Responsible for locking and unlocking the shop at the start and end of the day.
Petty Cash and Expense Management:
Oversee petty cash for the shop, ensuring accurate management and documentation.
Handle payments for subscriptions, licenses, utilities (electricity, water, internet), and operational expenses (transportation, material purchases).
Debt Collection:
Monitor and follow up with clients on outstanding debts to ensure timely payments.
Compliance and Tax Payments:
Ensure timely payment of all business licenses and taxes.
Project Updates and Communication:
Keep Directors informed of all pending tasks and progress on ongoing projects, ensuring timely communication and quality service delivery.
Communication:
Manage incoming communication through phone calls, emails, and other channels.
Draft, proofread, and prepare correspondence, memos, and reports.
Site Coordination:
Mobilize the site team for timely site visits and project execution, ensuring acquisition of all necessary resources for company activities.
Document Management:
Maintain organized, accurate physical and digital records.
Systematically archive documents and assist in report preparation and filing.
Data Entry and Monthly Reporting:
Input and update financial records in the system.
Generate weekly and monthly reports, track performance metrics, and prepare documentation for internal review.
Customer Service:
Assist in resolving customer inquiries or issues, ensuring a positive experience for clients, visitors, and staff.
Financial Assistance:
Process invoices, manage petty cash, and assist with budgeting and expense tracking.
Support finance teams with basic financial record-keeping tasks.
Support for Management:
Assist senior management with various tasks as required.
Aid in project coordination and task prioritization.
Provide overall administrative support to the company.
Companywide Sales Responsibility:
Every employee is responsible for helping to drive sales and support the company’s growth. This includes engaging with customers, understanding their needs, and promoting relevant products or services. Teamwork and good communication are essential to creating a positive customer experience and achieving our sales goals together.

Qualifications, Education and Competencies
Bachelor’s degree in Business Administration, Interior Design, or a related field (preferred).
Proven experience in an office administration role or similar position.
Strong organizational skills and attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and design software is a plus.
Excellent communication and interpersonal skills.
Ability to work independently and as part of a team in a fast-paced environment.
A passion for interior design and creativity is highly valued.
Skills:
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
Ability to maintain confidentiality and handle sensitive information.
High attention to detail and accuracy.
