Job Description
The Logistics Consultant will assist the local organizing committee in preparing for the APA Triennial Conference scheduled for May 2025. This includes managing logistics, coordinating with technical teams, overseeing budgetary aspects, and ensuring that the conference is well-executed. The consultant will be involved in meeting coordination, communication with participants, venue management, and ensuring the proper setup of the event.
Key duties include:
Managing the APA office and coordinating logistics with various committees.
Assisting with fundraising activities and supporting the technical review teams.
Overseeing participant communication and managing visa and travel arrangements.
Coordinating logistics for the venue, exhibits, transport, and the overall event schedule.
Managing the budget for the conference and maintaining communication with the venue and service providers.
Writing regular reports and providing a final report at the end of the conference.
Duties, Roles and Responsibilities
Coordinate conference planning and organization committees and serve as Assistant Secretary.
Help in fundraising coordination and liaise with committee leaders.
Ensure timely communication with authors and manage conference technical review teams.
Maintain and update the participant database in consultation with the communications team.
Oversee external communications related to the conference.
Manage the conference budget in coordination with the APA President and treasurer.
Oversee the logistics of conference participants, including visa regulations and travel guidelines.
Assist in the identification of exhibit services and development of service contracts.
Manage the conference venue relationship and ensure all logistics are in place.
Coordinate the event's media coverage and facilitate field trip arrangements.
Write monthly and final reports, highlighting achievements and challenges.

Qualifications, Education and Competencies
A Bachelor’s degree in Administration, Business Management, Finance, or a related field.
At least two years of experience in organizing large meetings or conferences.
Strong experience in logistics, management, and administration.
Proficiency in MS Office and good report writing skills.
Strong analytical skills with a keen attention to detail.
