Job Description
The Front Desk Officer will serve as the face of the organization and play a key role in handling all front office operations. This includes answering calls, directing visitors, managing correspondence, coordinating office supplies, supporting meeting logistics, and providing clerical support to various departments. The ideal candidate should be organized, professional, and possess excellent interpersonal and communication skills.
Duties, Roles and Responsibilities
Answer incoming calls and direct them to appropriate offices
Provide information to callers and visitors, including directions and general company info
Maintain a safe and clean reception area in line with procedures and regulations
Receive and distribute mail to relevant departments and track correspondence
Schedule, organize, and coordinate internal meetings
Coordinate staff and guest travels including air ticket and hotel bookings
Assist in ordering, receiving, stocking, and distributing office supplies
File, record, and track documents as assigned
Type letters, memos, reports, and other correspondences
Assist in preparing presentations as assigned
Provide secretarial services during meetings
Perform clerical duties such as photocopying, faxing, and filing
Maintain databases for office supplies and other records
Perform other related duties as may be assigned

Qualifications, Education and Competencies
A Bachelor’s Degree (Honours) in Social Sciences, Arts, Development Studies, Public Administration, Social Administration, Office and Information Management, Business Administration, Secretarial Management, Administrative Secretary or any relevant degree
Minimum of 3 years’ experience in a similar administrative or front desk role
Working knowledge of office management systems, procedures, and equipment
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
Excellent interpersonal and communication skills
Ability to interact with various stakeholders courteously and professionally
Strong attention to detail and ability to multi-task
High level of grooming and personal presentation
Improvisation and decision-making skills
