Position: Field Operations Manager - E!EXP

Position Overview
We are seeking a highly motivated and experienced Field Operations Manager to lead our E!EXP Field Operations Department. In this role, you will oversee key aspects of field logistics, reporting procedures, mentor strategy, and the management of our field operations team. This is a critical position where you will be at the forefront of ensuring the success of Educate!’s mission, working with passionate youth, and contributing to the growth of our impactful programs.
Duties, Roles and Responsibilities
1. Reporting Procedures and Flow Oversight (30%)
Develop and ensure clear reporting procedures, ensuring that the Field Operations team understands and adheres to them.
Oversee data collection in line with monitoring and evaluation systems, ensuring accurate and timely reporting.
Review data dashboards and ensure weekly updates are accurate.
Address challenges faced during data collection, in collaboration with M&E and Program Managers.
Collaborate with the performance metrics and product teams to update procedures and ensure proper scholar allocation.
Lead monthly reporting meetings with the programs and performance metrics teams to discuss insights and address issues.
2. Mentor Strategy Oversight (30%)
Lead the recruitment and onboarding strategies for mentors, working with the Implementation Manager to align mentor profiles with program needs.
Ensure mentor lists are up-to-date and mentor agreements are signed on time.
Monitor and track mentor performance through feedback, retention rates, and overall team culture, making adjustments as necessary.
Work with various departments to update mentor policy handbooks and provide regular updates on the mentor database.
Manage the mentor helpline and ensure quick resolution of issues.
Maintain a backup mentor database to ensure coverage for any mentor drops.
3. Field Logistics Oversight (20%)
Oversee the annual transport verification exercise and ensure transport costs are within budget.
Coordinate with the Finance team to ensure monthly accountabilities are met and logistics needs are fulfilled.
Review and address any issues in the logistics systems, providing solutions where necessary.
Ensure youth incentives (e.g., prizes, awards, airtime) are distributed on time according to program schedules.
Work with product leaders to ensure logistical needs are met for program activities.
4. Field Operations Team Oversight (20%)
Foster a positive, supportive team culture that empowers the Field Operations team to be responsive and agile.
Provide regular feedback to the team, supporting their development and addressing performance gaps.
Lead annual performance appraisals and provide professional development feedback.
Identify and create leadership pipelines within the team, ensuring the department’s growth and success.
Advocate for and implement systems that improve efficiency in line with the evolving needs of the programs.
Qualifications
Bachelor’s degree in a business-related field.
At least 5 years of professional experience in project coordination, ideally in social enterprises, NGOs, or the education sector.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite.
Strong skills in planning, budgeting, forecasting, problem-solving, leadership, communication, and coordination.
