Job Description
The Executive Assistant to the CEO will play a key role in ensuring seamless administrative support, effective internal communication, and efficient coordination across executive functions. The successful candidate will manage the CEO’s calendar, facilitate internal and external meetings, and handle correspondence. They will also contribute to the organization’s success through data-driven tasks including dashboard reporting, project tracking, and business analysis using tools such as Google Workspace, Salesforce, and NetSuite. A background in the nonprofit sector, particularly in fundraising or donor management, is highly desirable, along with the ability to work independently in a remote setting.
Duties, Roles and Responsibilities
Manage and maintain the CEO’s calendar and schedule
Prioritize and respond to emails on behalf of the CEO
Coordinate meetings and logistics with internal teams and external stakeholders
Develop professional slide decks using automation tools
Track departmental projects and maintain dashboard reports
Organize and analyze data using Google Workspace, Excel, and Google’s Gemini AI
Use Salesforce for donor data analysis and reporting
Support billing, accounting, and collections functions in NetSuite
Uphold confidentiality and professionalism in all communications and responsibilities

Qualifications, Education and Competencies
Proven experience as an Executive Assistant or in a similar support role
Strong business analysis background with experience using Google Workspace, Salesforce, Excel, and NetSuite
Familiarity with Microsoft Access or similar database tools is a plus
Experience with generative AI tools (e.g., Google Gemini)
Prior experience in nonprofit fundraising, donor management, or prospect research
Excellent organization, time management, and communication skills
Ability to work independently in a remote environment
High standard of discretion, confidentiality, and trustworthiness
Bachelor’s degree preferred
