Job Description
The Executive Assistant will be responsible for supporting Chief Officers in administrative, logistical, and clerical duties. This includes managing calendars, handling correspondence, organizing meetings and travel, maintaining records, managing office logistics, and supporting departmental activities. The ideal candidate will demonstrate a high degree of professionalism, discretion, and efficiency in a dynamic work environment.
Duties, Roles and Responsibilities
Oversee general office administration to ensure a clean, organized, and well-equipped office environment
Manage the calendar of the Head of Department
Schedule and coordinate appointments, meetings, and inland travel for departmental staff
Answer and direct phone calls; provide general support to visitors
Prepare and amend documents including correspondence, reports, memos, and emails
Ensure proper maintenance and secure storage of administrative records and project documents
Requisition and maintain office supplies for the department
Manage office logistics including transport coordination, deliveries, and supplies
Organize and support project meetings, workshops, and other departmental events
Receive, sort, and distribute incoming correspondence
Perform data entry and maintain up-to-date records
Provide backup support to the Front Office Administrator
Perform any other administrative duties as assigned

Qualifications, Education and Competencies
Minimum Qualifications:
Honours Bachelor’s degree in Social Sciences, Arts, Development Studies, Public Administration, Social Administration, Business Administration, Secretarial Management, Administrative Secretary, or a related field
Experience:
Minimum of three (3) years' relevant experience as an administrative assistant, virtual assistant, or office administrator
Competencies and Skills:
Proficient in office management systems and standard equipment
Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook)
Strong organizational, planning, written, and verbal communication skills
Excellent time management skills and the ability to prioritize multiple tasks efficiently
Professional demeanor, reliability, and attention to detail
Age Requirement:
25 to 35 years
