Job Description

Kijani Forestry seeks a dynamic and experienced data entry assistant to oversee the day-to-day operations of our agro-forestry organization. The data entry assistant will play a pivotal role in ensuring the efficiency and effectiveness of our operations, will be responsible for reviewing and verifying farmer data and incentive payment forms to ensure accuracy and compliance with company guidelines. This role is essential in maintaining the integrity of our payment system, ensuring that farmers receive the correct incentives based on verified data.

Duties, Roles and Responsibilities

  • Receive and Verify Payment Forms: To ensure that all forms submitted for payment approval are properly received, both in hard copy and soft copy formats.

  • Align Soft and Hard Copy Forms: To ensure that the information in the soft copy forms is fully aligned with the hard copy submissions. This includes capturing any changes, such as name updates or changes in the number of confirmed trees that are surviving. The individual will be held liable for any incorrect entries resulting in financial loss to the company, with the total loss deducted from their monthly pay.

  • Record Discrepancies: To identify and log any discrepancies in the issues log, as per the provided training, ensuring accurate documentation of all irregularities. 

  • Convert and Format for Finance: To convert aligned forms into the approved finance format with the highest level of accuracy, being fully responsible for ensuring no errors that could lead to financial losses.

  • Sign Off on Cleared Forms: To sign off each form after verifying and clearing the forms for payment by including your name and date to confirm the information is correct and ready for submission 

  • Weekly Report of Cleared Groups: To compile a list of all groups cleared for payment by the end of each week and submit the list before Monday of the following week. 


Key Result Area: A total of 80 forms to be submitted to the Finance Department on a weekly basis.

Qualifications, Education and Competencies

QUALIFICATIONS AND SKILLS 

  • Minimum of a Diploma in Business Administration, Accounting, Finance, Mathematics, Demography, Statistics, Social Sciences or a related field is required

  • Experience with record keeping and management including auditing, data management, reporting etc.

  • Excellent use of MS Excel, Ms Word and Ms Access

  • Minimum of 1 years of work experience in managing data or record keeping and or data auditing

  • Strong report writing and communication skills.
