Job Description

The Custody Operations and Service Manager will oversee and manage the effective handling and authorization of security transactions, ensuring the accurate maintenance of records and the reduction of risks to the bank. The role involves ensuring adherence to all processes and procedures, maintaining IT security, and fostering client relationships by delivering exceptional service. Additionally, the manager will focus on improving standards, meeting daily deliverables, and maintaining accurate client billing and revenue recoupment.

Duties, Roles and Responsibilities

  • Engage effectively with local market participants, including brokers, custodians, fund managers, stock exchanges, and depositories.

  • Maintain communication with Global Custodians on operations, market information, and service levels.

  • Process settlement transactions and ensure accurate trade reporting.

  • Verify funds and holdings prior to settlements and update reasons for any failed trades.

  • Authorize client trade and corporate actions instructions on the securities system.

  • Monitor settlement of trades and corporate actions on the due date.

  • Maintain and record all transactions in a timely manner.

  • Deliver error-free custody reporting to clients.

  • Oversee custody operations, including corporate actions, client entitlements, dividend collection, and reconciliations.

  • Manage custody system dashboards to ensure timely deliverables.

  • Guide and authorize Global market operations related to FX rates booking and client funds repatriation.

  • Implement key controls and complete assigned tasks within deadlines.

  • Participate in business process re-engineering as required.

  • Engage in operational and project-level meetings, providing feedback on project status and UAT management.

  • Identify and escalate issues, working closely with product, technology, and finance teams.

  • Liaise with clients and internal stakeholders to resolve custody-related issues.

  • Promptly escalate operational incidents to senior management.

    Client Service (30%):
    • Adopt a proactive approach to client issues and provide timely resolutions as per Service Level Agreements (SLAs).

    • Respond to client queries within 24 hours or according to SLA timelines.

    • Maintain continuous follow-up with clients to resolve issues in line with Absa's Complaint Policy.

    • Attend Trustee meetings and provide accurate regulatory information within required timelines.

    Teamwork (10%):
    • Cultivate a culture of customer service and service delivery within the team.

    • Manage stakeholder relationships and maintain strategic relationships with key decision-makers.

    • Engage in performance development and actively pursue relevant training.

    • Foster collaboration and teamwork across various areas within the bank.

    • Mentor and support team members, sharing best practices to enhance service delivery.

    Risk Management (10%):
    • Analyze information critically and make balanced decisions to minimize transactional risks.

    • Ensure strict compliance with local laws, regulations, and Absa's policies.

    • Monitor and control operational risks effectively to achieve audit compliance.

    • Escalate significant risk events to senior management promptly.

    • Maintain robust monitoring, control, and governance practices within the unit.

Qualifications, Education and Competencies

  • Bachelor’s Degree in Business, Commerce, or Management Studies (required).

  • Master’s Degree in Finance or Business-related field (added advantage).

  • 7 years of experience in banking.

  • 4-5 years of relevant experience in custody operations and service.

  • Experience with regional and domestic settlement operations and Swift messaging.

  • Knowledge of corporate action, fund management, and reference data.

  • Ability to navigate the regulatory landscape and manage business risks.

  • Strong problem-solving, presentation, and client engagement skills.

  • Excellent IT skills, including proficiency in Word, Excel, Access, and PowerPoint.

  • Experience with Custody Plus system is an added advantage.

  • Excellent communication and interpersonal skills.

  • Customer service orientation and attention to detail.
