Job Description

The Associate Administrative Officer will play a key role in supporting UNEP’s GEF Chemicals and Waste Unit under the Economy Division. The officer will assist in the implementation of administrative and budget-related processes and facilitate coordination with governments, international partners, and internal departments. The incumbent will report to the Programme Budget Officer and will be based at UNEP Headquarters in Nairobi, Kenya.

Duties, Roles and Responsibilities

  • Assist in the preparation and monitoring of budgets, financial reports, and work plans.

  • Monitor and review budgetary and financial activities ensuring compliance with UN financial rules and procedures.

  • Prepare and process requisitions, purchase orders, and contracts in line with UN administrative processes.

  • Support recruitment and human resource actions related to the GEF Unit.

  • Liaise with programme staff to ensure project implementation meets administrative and financial standards.

  • Maintain accurate records and documentation for audits and reviews.

  • Support coordination with stakeholders including governments and international partners.

  • Assist with data collection and preparation of reports for management and donors.

Qualifications, Education and Competencies

Education:

  • Advanced university degree (Master’s or equivalent) in business administration, finance, public administration, or a related field.

  • A first-level degree in combination with qualifying experience may be accepted in lieu of the advanced degree.


Work Experience:

  • A minimum of two years of progressively responsible experience in administration, finance, accounting, or a related field is required.

  • Experience working in an international organization is an added advantage.

  • Familiarity with the UN financial and administrative rules is desirable.


Languages:

  • English and French are the working languages of the UN Secretariat.

  • Fluency in English is required.

  • Knowledge of another UN official language is an asset.


Competencies:

  • Professionalism: Knowledge of administrative, budgetary, and financial processes.

  • Planning and Organizing: Ability to prioritize tasks and meet deadlines.

  • Communication: Effective verbal and written communication skills.

  • Teamwork: Ability to work collaboratively in a multicultural environment.

  • Technological Awareness: Proficiency in standard computer applications.
