Job Description

Ensure proper office management by performing all secretarial and office management duties.

Duties, Roles and Responsibilities

Dutieand Responsibilities

  • In conjunction witrelevant officers, draup and monitoappointments  and programmes.

  • Answer  telephones  angive  information  to callers,  take  messages,  or  transfer  calls to

  • appropriate  individuals,  Answer  enquiries  in form of telephone  or email and providing general information.   Assist in makinoutgoing callwhen requestebother staff.

  • Receive,  and direcstakeholders/visitors  to appropriatOfficer (s).

  • Ensurtimely responses to inquiries ancorrespondences  to anfrom thOffice.

  • Receiving incoming maiand supervisinthe dispatcooutgoinmail. Confirm receipt of mails odocuments.

  • Ensuring that relevant documents for meetings anspeeches are produced  on time and properly organized.

  • Draftinletters of routinnature.

  • Ensuring cleanliness and orderliness othoffice.

  • Managinrecordiaccordance with establishesecurity and records management procedures.

  • Photocopying,  filling anmaintaining attendancregister.

  • Operate electronic maisystems and coordinatthflow oinformatiobotinternalland with other organizations.

  • Operate office equipment  sucas fax machinescopiersand phone systems. m.  Requisitioning  and Managinoffice stationery and equipment.

  • Supervisinthsecretariaansupporpersonnefothoffice.

  • Perform any other duties as may be assigned from timto time.

Qualifications, Education and Competencies

Qualification

  • Applicantshould possess a Bachelor's Degree iSecretariaStudies, Mass Communication, Business Administration, Human Resource or related discipline from a recognizeUniversity.

  • Applicants should possess Computeskillusing several packages like Microsoft Office


Experience  and Competencies

  • A minimum of 4 yearof experience in secretarial/administrative work.

  • Stronknowledge and experience with MS Office application.

  • Stroncommunication skillbotverbalwritten and spoken.

  • Strong  interpersonal   skills,  well-organized   and  experience   in  office  management   an advantage.


Deliverables

  • AII project records filed.

  • Project correspondences  handled.

  • Front desservices supervised.

  • Both Externaand Internaclientcommunicationhandled satisfactorily.

  • Report on Tasks accomplished indicatindeadlines.
