Job Description
Job Title: Administrative Assistant (No Experience Jobs)
Organisation: ITM Uganda
Duty Station: Kampala, Uganda
We are seeking a highly organized and detail-oriented Administrative Assistant to support our team at ITM. The ideal candidate will handle day-to-day administrative tasks, manage correspondence, schedule meetings, and ensure smooth office operations. They should be proactive, possess strong communication skills, and be able to multitask in a fast-paced environment.
Duties, Roles and Responsibilities
Provide administrative support to HR and office staff.
Assist in maintaining and updating employee records and databases.
Schedule meetings, interviews, and appointments.
Organize and maintain office files, records, and documents.
Respond to phone calls, emails, and inquiries in a timely manner.
Assist in the preparation of HR-related reports and documentation.
Perform general office duties such as photocopying, scanning, and filing.
Support event coordination and office activities as required.
Take minutes during meetings and distribute them to relevant stakeholders.
Handle confidential information with professionalism and discretion.
Other duties as assigned to support the office’s smooth functioning.

Qualifications, Education and Competencies
A degree or diploma in HR, Business Administration, or a related field.
Strong organizational skills and attention to detail.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to multitask and prioritize tasks efficiently.
A proactive and adaptable attitude, with a willingness to learn.
Interest in pursuing a career as a Personal Assistant (PA) in the future is a plus.
