The Infectious Diseases Institute (IDI) is a Ugandan not-for-profit organization whose mission is to strengthen health systems in Africa, with strong emphasis on infectious diseases, through research and capacity development. IDI has six operational areas through which it works to achieve its mission: Prevention, Care and Treatment; Training, Research, Laboratory services (including the CAP-certified IDI Core Lab & Translational Lab), Global Health Security and Health System Strengthening.
Infectious Diseases Institute (IDI) is an independently governed institute within the College of Health Sciences at Makerere University and has the mission “To strengthen health systems in Africa, with a strong emphasis on infectious diseases, through research and capacity development.” IDI has operations across Uganda as well as in a number of other African countries and has a staffing of over 1,000 managing multiple projects in research, clinical services, public health and training.

Job Description
Job Title: Administrative Assistant (1) (No Experience NGO Jobs)
Organisation: Infectious Diseases Institute (IDI)
Duty Station: Kampala, Uganda
Reports to: Study Coordinator
The ENCORE study is a multisite study that is evaluating the effect of an enhanced package of care for advanced HIV disease
Duties, Roles and Responsibilities
Administer agreements and contracts with multiple partners; this may include negotiating term contracts for project-related services (e.g. transportation services, patient care logistics etc)
Ensure the procurement, shipping, storage and installation of project related goods and materials (working with relevant IDI staff, through the IDI procurement system)
Assist in project financial management:
Maintain appropriate documentation of project financial management policies and procedures as well as project transactions
Support budget preparation and monitoring
Provide monthly and quarterly expenditure forecasts, especially petty cash floats.
Support timely expenditure approval and payment processing
Ensure that appropriate expenditure documentation and information is transmitted to the finance department on a timely basis.
Assist in preparation of reports for internal and external use; assist in meeting reporting obligations to study principal investigators and sponsors.
Support the communication and resolution of staff related administrative requirement between study staff and the other IDI departments, these include annual renewal of practicing licenses, contract renewal, queries with staff enumeration etc
Coordinate all project logistics including procurement, transportation, shipping , storage and maintenance.
Administer agreements and contracts with multiple partners including project service providers
Support the submission of study related regulatory documentation and liase with the various regulatory bodies to attain the required approvals.
