Job Title: Administrative Assistant (with Bookkeeping Experience)

In this role, the Administrative Assistant will play a critical part in ensuring smooth office operations by managing communications, maintaining accurate records, and handling bookkeeping duties such as invoicing, tracking expenses, and performing financial reconciliations. The position also includes tasks like assisting with order processing, customer follow-ups, sales reporting, and inventory management.


Location: Entebbe, Uganda

Duties, Roles and Responsibilities

Office Administration & Communication:

  • Professionally manage phone calls, emails, and customer inquiries.

  • Keep accurate records and organize office files.

  • Monitor and manage office supplies to ensure efficient operations.


Bookkeeping & Financial Management:

  • Maintain accurate financial records and record transactions.

  • Assist with invoicing, tracking expenses, and financial reconciliations.

  • Collaborate with management to ensure accurate financial documentation.


Sales & Customer Support:

  • Process orders, update customer records, and handle order fulfillment.

  • Follow up with leads and assist in converting them into paying customers.

  • Track payments, follow up on outstanding invoices, and ensure smooth financial transactions.


Support Business Operations:

  • Assist with the preparation of reports, presentations, and sales data analysis.

  • Schedule meetings and appointments, and coordinate with various teams.

  • Maintain accurate inventory and stock records.

Qualifications, Education and Competencies

  • A minimum of 2 years of experience in administration, bookkeeping, or a similar role.

  • Strong understanding of basic accounting principles and financial record-keeping.

  • Proficiency in Microsoft Excel, Google Suite, and accounting software.

  • Excellent organizational and multitasking skills.

  • High attention to detail.

  • Proactive and self-driven with the ability to manage work independently.

  • Strong ability to prioritize tasks and manage workloads effectively.andidates based in or near Entebbe or those willing to relocate upon hiring.
