Job Description

Job Location: Jinja, Mubende - Uganda
Benefits: Health insurance, paid time off
Contract Duration: 2 years ( renewable)
Eligibility: This role is only open to citizens or permanent residents of Uganda.
The Operations Administrative Assistant will manage critical administrative and operational tasks to ensure the seamless delivery of services for the Eastern Region field team. You will play a key support role in budget tracking, expenditure planning, and resource coordination, enabling the team to expand its impact and reach more smallholder farmers over the next five years. Additionally, you will serve as a primary point of contact for stakeholders, delivering exceptional customer service to partners, farmers, and internal teams.
Duties, Roles and Responsibilities
Team Staffing and Administration Management
Coordinate logistics for meetings, events, and projects, including scheduling, travel arrangements, and materials preparation.
Support HR teams on staffing management needs like Field Team and casuals recruitment, performance and database management, staff leave and payroll.
Provide administrative support to the operations team, including preparing and distributing reports, maintaining files, coordinating meetings and performing other administrative tasks.
Help develop and implement operational procedures.
Execution
Draft and maintain field team training content with manager support
Plan procurement and field team expenditure within a set budget.
Submission and tracking of all field team-related payments and purchases.
Support for management and resolution of field team service requests.
Customer Service and Engagement
Participate in decisions and brainstorming processes that lead to resolution of customer inquiries and operations projects and tasks.
Identify and pursue opportunities for improvement through automation and cost reduction.
Develop and adhere to service desk processes, and guidelines
Communicate updates with ticket participants (resolvers and customers)
Track problems and recurring incidents

Qualifications, Education and Competencies
Across all roles, these are the general qualifications we look for. For this role specifically, you will have:
2+ years of experience in an administrative or operational role.
Diploma in development studies, Agriculture/ Agribusiness Development, Business Administration, Development Economics.
Experience in project management.
Fluency in English is required, and proficiency in Lusoga or Luganda will be an added advantage.
