Job Description
The Administrative Assistant, Regulatory Affairs will be responsible for facilitating submission to ethical and regulatory bodies, maintaining tracking systems, and ensuring compliance with regulatory procedures. The role also involves supporting research monitoring, communication, capacity building, record-keeping, and reporting.
Duties, Roles and Responsibilities
Review submission packages and facilitate submission to ethical and regulatory bodies.
Develop and maintain tracking systems to monitor submission progress.
Develop Standard Operating Procedures (SOPs) to streamline regulatory processes.
Arrange the timely renewal of practicing licenses and registration certificates for researchers.
Prepare payments to regulatory authorities in a timely manner.
Ensure that study procedures and reporting comply with site, protocol, and regulatory guidelines.
Maintain and store all source documents related to the study.
Follow up with teams to ensure adherence to SOPs, protocol timelines, and IRB reviews.
Participate in internal, regulatory, and compliance monitoring as needed.
Liaise with Ethical and Regulatory bodies.
Provide training on regulatory and protocol-related policies to study staff.
Create and maintain electronic regulatory binders, including safety reports and regulatory documents.
Maintain up-to-date regulatory binders and ensure proper filing of study documents.
Archive completed study documents and track document movements.
Provide feedback to the Regulatory Affairs Coordinator regarding documentation, submissions, and communications.

Qualifications, Education and Competencies
Bachelor’s Degree in Nursing, Bioethics, or a related field.
Registration with the relevant professional body.
At least 2 years of relevant experience in the health research sector.
