Job Description
The Finance Assistant will be responsible for supporting the finance department by managing various financial activities, including overseeing financial operations, assisting with project coordination, and preparing financial reports. Key tasks include handling administrative duties such as managing the Managing Director’s schedule, ensuring communication and coordination between internal and external stakeholders, and maintaining organized financial and operational records. The role will also involve managing financial planning and analysis, preparing financial statements, and ensuring compliance with tax regulations and financial standards. The Finance Assistant will support investment performance tracking and provide operational support to ensure smooth business functioning.
Duties, Roles and Responsibilities
Diary and Schedule Management:
Manage the Managing Director’s schedule, including meetings, appointments, and travel arrangements.
Ensure timely preparation and distribution of meeting materials.
Communication and Coordination Management:
Handle incoming business calls and emails.
Compose and prepare business correspondence, including memos, letters, and presentations.
Facilitate communication and information flow between clients, team members, and vendors.
Build and maintain positive relationships with colleagues across departments.
Administrative Support:
Maintain accurate and organized financial and operational records, including expense reports and compliance documents.
Coordinate office logistics and supplies.
Assist in preparing presentations and financial reports.
Maintain compliance filings for clients and the company.
Operational Support:
Assist with day-to-day operations and project coordination.
Data Entry and Management:
Ensure accurate and timely data entry into company systems.
Generate reports and analyze data as required.
Problem-Solving:
Proactively identify and resolve administrative and operational challenges.
Provide solutions to improve efficiency and streamline processes.
Financial Planning and Analysis:
Oversee daily finance department operations.
Develop and implement financial strategies and budgets aligned with company objectives.
Conduct financial forecasting and analysis.
Prepare and analyze financial statements, including income statements, balance sheets, and cash flow statements.
Financial Reporting:
Ensure timely and accurate financial reporting to management.
Prepare and file tax returns and regulatory filings (Uganda Revenue Authority, Uganda Registration Services Bureau).
Maintain internal controls and ensure compliance with financial standards.
Financial Management:
Oversee accounts receivable and payable operations.
Manage cash flow and liquidity.
Monitor and control expenses to optimize profitability.
Investment Performance Tracking:
Track and analyze investment performance across portfolios.
Prepare performance reports for investors and stakeholders.
Project Coordination:
Assist with special projects and event coordination as assigned.
Confidentiality and Discretion:
Maintain confidentiality regarding sensitive financial and company information.

Qualifications, Education and Competencies
A Bachelor’s degree in Finance or an equivalent field.
1-2 years of experience in a finance-related role.
Proficiency in drafting and preparing financial documents.
Knowledge of the Ugandan financial system and regulations.
Strong analytical skills and attention to detail.
Excellent communication and organizational skills.
Ability to work independently and as part of a team.
