Job Title: Operations Manager (Facilities)
Organisation: GoldServe
Duty Station: Kampala, Uganda
To oversee and manage all aspects of facilities and operations, ensuring revenue growth, operational excellence, and proactive client engagement. This role demands strong leadership, financial acumen, and the ability to innovate in workspace management while ensuring effective technical delivery of contracts under their control.
Duties, Roles and Responsibilities
Contract Administration & Client Engagement:
Understand and manage the operational aspects of contracts, ensuring compliance and performance.
Actively engage with clients to address needs, provide updates, and maintain strong relationships.
Proactively identify opportunities for improving contracts and expanding service offerings.
Facility Operations Oversight
Develop and implement operational policies, procedures, and guidelines to ensure the efficient and effective functioning of the facilities.
Coordinate with various teams, such as maintenance, housekeeping, supply chain, technology to ensure seamless operations and address any issues that may arise.
Supervise facility management staff, including maintenance personnel and
housekeepers, to ensure timely and efficient service delivery.
Oversee interior fitout projects for workspaces, including design coordination cost management, and timely delivery.
Conduct regular inspections to identify maintenance needs, prioritize tasks, and coordinate repairs or replacements as required.
Respond promptly to facility-related emergencies, such as power outages, equipment failures, or structural issues, and take appropriate actions to minimize downtime and ensure the safety of personnel.
Stock and Asset Management:
Ensure prompt stock takes of consumables and maintain accurate inventory records.
Monitor the movement of company assets to ensure accountability and alignment with contract delivery needs.
Maintain a comprehensive inventory of assets and consumables, ensuring proper utilization
Stakeholder Communication and Relationship Management
Collaborate with internal stakeholders, including senior management, operations teams, and facility utilisers, to understand their needs and address any facility-related issues.
Provide regular updates, reports, and recommendations to senior management on facility performance, maintenance activities, and improvement initiatives.
Foster positive relationships with clients, vendors addressing their concerns and ensuring their satisfaction with the facilities and services provided including SLA adherence
Revenue Growth & Strategy
Drive revenue growth by identifying and capitalizing on opportunities within existing contracts and business development initiatives.
Support the Business Development team in drafting proposals and securing new contracts.
Prepare accurate Bills of Quantities for facility and construction-related projects and support the business development teams.
Innovation in Workspace Management
Develop and implement innovative ideas to enhance workspace functionality, efficiency, and client satisfaction.
Collaborate with clients and internal teams to create tailored workspace solutions that align with their needs.
Budget and Resource Management
Develop and manage the facility management budget, including cost estimation, forecasting, and expenditure tracking.
Optimize resource allocation, including personnel, equipment, and materials, to ensure cost-effectiveness and efficient operations.
Identify opportunities for cost savings and process improvements without compromising quality and service standards.
Team Leadership and Record Keeping
Lead, mentor, and coordinate a diverse team (Facility Managers, Architect, Facility Officers, Facility Assistants etc..), fostering collaboration and high performance.
Ensure proper record-keeping practices across all areas, including financial documents, stock inventory, and project records.
Compliance and Risk Management:
Ensure compliance with health, safety, and environmental regulations across all operations.
Identify and mitigate risks associated with contract delivery and asset management.

Qualifications, Education and Competencies
Bachelors Degree from a reputable University (minimum second upper) in Quantity Surveying, Facility Management, Construction Management, Civil Engineering or a related field.
Experience:
Proven recent expertise in facilities management, fitout interior project delivery or construction experience all totaling not less than 5 years (references will be checked and verified)
Skills:
Budget management and cost control proficiency
Strong technical knowledge or workspace solutions and contract administration
Exceptional leadership and client engagement abilities
Exposure to softwares like Auto Cad, Lumion will be an added advantage.
Good knowledge on QHSE best practices
Other requirements:
Willingness to travel around the country occasionally
Valid driver’s license.
